Registration In order to reserve a place, the appropriate application form must be filled out and sent to AECS by email, fax or mail along with a copy of the bank transfer. Please ensure that the student’s name is clearly indicated on this transfer. AECS will only recognise as a payment the amount received therefore students must pay all bank charges incurred. The complete cost of each course (Registration + Tuition fees) must be paid before students arrive in Spain. If not, students cannot start their courses. Discounts only apply to the alumni relatives. Since the number of places on any course or subject is limited, AECS may close the official enrolment period earlier than anticipated, once all available places are filled. Admission is carried out strictly according to the order in which registration forms arrive at AECS. Thus, in order to guarantee a place, students should register as soon as possible. However, if places are still available, students can register up to one week before their arrival if they do not request AECS any accommodation service. A registration fee of 150€ will be charged per student booked (300€ for long term programmes to access the University in Spain). All payments must be made in euros and by bank transfer. The balance of the fees is payable 8 weeks before arrival. Students reserving courses less than 8 weeks before arrival should send the full payment with their registration. Students should not book their flight tickets until they have received confirmation from AECS that payment has been received by us. We aim to respond to all emails and process all credit requests within 48 hours (except week-ends and holidays). In addition, AECS always reserves the right not to accept a student if his or her grades are not considered high enough to participate in the programme. Reimbursements The registration fee cannot be reimbursed. In the case AECS has no course open for the level the student required, he or she will be offered the possibility to take one-to-one classes for half the duration of the course booked. Refusal of a visa or equivalent is not considered a valid reason for reimbursement. However, in this case the fee may be used towards another course programmed in the same academic year. In the event of a student quitting after commencement, refunds are not possible. Age and previous studies Students must be at least 18 years old and have a General Certificate of Education or equivalent. Certificates and diplomas Registration and enrolment certificates will be issued a minimum of one week after the date requested. The student is entitled to 2 certificates: either a reservation or enrolment certificate and a grade certificate. AECS issues the following certificates:
Student information All communication between the AECS administration and students will be made by e-mail. If students do not have an e-mail address, we advice them to make one and check it regularly or to check the notice board at school on a regular basis. AECS is not responsible if students do not receive the periodical information. Public Holidays On national, regional and local public holidays, there will be no classes. AECS will always be closed on 12th October, 1st November, 6th and 8th December, from 24th December to 7th January included, 28th February, all the week of Easter, 1st May, Corpus Christi (1 day, changing every year), 15th August and no classes will be replaced any other time. Services and timetable AECS reserves the right to change lesson times at its discretion and may use classrooms in alternative premises of a similar standard. Students must purchase their own course books. AECS gives students the possibility to book their books through the school only in the case they add this amount of money to the tuition fees payment. AECS reserves the right to alter any service, description and fee without notice provided that any substitute offered is at least of the same standard, contents and classification as the one offered originally. Behaviour AECS reserves the right to expel any person that in the opinion of AECS has behaved in an unacceptable manner including but not limited to possession or consumption of any illegal drugs and alcohol, malicious damage to property, behaviour that endangers or impairs the health, safety or comfort of other persons using the same services at school as well as employees, teachers and administrative staff, breaking local laws and any form of violence inside or outside the school. Other reasons for exclusion include inappropriate behaviour, threats and unwanted advancement and/or harassment towards fellow students, teachers or administration staff. Serious cases will also be referred to the local authorities. In case of students coming with a visa from outside EU countries, the danger of expatriation must be considered by the student. In any case, while studying, students arriving at school intoxicated or under the influence of drugs will be immediately excluded from the class. Any damage to or loss in AECS must be paid by the students before departure. If there is a clear guilty person, he or she will be totally responsible of the amount to be paid, otherwise the amount will be divided into all participants to the courses. Absenteeism/Tardiness Students arriving more than fifteen minutes late will not be allowed to join the class, unless the school is informed in advance. All students are expected to inform the school when unable to attend classes. Missed classes are only re-arranged at the school’s discretion. Persistent absenteeism will result in a verbal warning followed by a written warning and subsequently dismissal from the course without refund. Smoking and Alcohol Smoking is not permitted in the school. Smoking is allowed outside the school. If students smoke in the bathrooms they will be expelled by the school and will not be accepted any other day. Drinking of alcohol is not acceptable in the school. Medical insurance For students coming from a non EU country, either studying in AECS for a period of 9 months in the programme to access the University in Spain or for a lesser period, they are bound in any case to draw up a medical insurance policy. AECS gives students the possibility to book a medical insurance for them, but the sum must be paid in advance to AECS. Accommodation The choice of lodgement (if booked by AECS) must be kept until the date written in the agreement which students will sign upon arrival in Spain. To be noted that the abovementioned agreement is directly signed by students with the accommodation company. For those students studying in AECS for a long term period, in order to book a room in a flat, or a room in a dorm, AECS will ask the student to pay in advance the deposit (to be refunded upon return to their countries), the first month and the reservation fee. If visa is not delivered to students coming from countries outside the EU, only the deposit will be reimbursed. Extra services Any extra service offered by AECS must be paid by students in advance as well as excursions and any activity booked. AECS cultural activities are included in the programmes and are free. Photographs and video Further, students hereby grant full permission to AECS to use any photographs, videotapes, motion pictures, website images, recordings, and/or comments they make in questionnaires or letters or any other record of their studies for purposes of commercial advertising, marketing or promotional literature without the need for further consent from students. Complaints Complaints must be made in writing to AECS during the duration of the course. AECS cannot be held liable for any complaint received after the clients’ departure. Force Majeure AECS will not be responsible for any failure to comply with any obligation and will not be liable for payment of compensation if the failure is occasioned by any cause beyond AECS’s reasonable control. AECS shall not be responsible for any costs incurred by or on behalf of any student caused by force majeure. Such cause may include but is not limited to losses, damages, cancellations or delays, strike action, civil strife or terrorist activity, war, natural or nuclear disaster and unusually adverse weather conditions. Data protection Should students decide to apply with AECS, we will use the information they provide to us for the purpose of administering their application during the admissions cycle. Should students be admitted to AECS, this information will be carried forward to their formal student record, which holds data in electronic and paper form on their personal details, academic and administrative history and on relevant financial transactions. By booking a course in AECS either with or without accommodation, students indicate that they have read and agreed to the contents of our terms and conditions. |
